Job Description

As a Secretary, you will provide effective and efficient administrative and secretarial support to the leadership team, department and site.




Responsibilities and Tasks

  • Provide secretarial support to the Leadership Team: Manage meeting and event schedules; Minute taking (if needed)
  • Arrange travel itinerary, flight, and accommodations
  • Coordinate employee welfare (i.e. newborns, get well, wreath)
  • Coordinate distribution of service awards, company gifts, etc.
  • Coordinate expense claims
  • Support office tours for off-cycle Team Member Orientation
  • Facilitate that recognition program
  • Perform general office administration, including maintenance and/or purchase of office equipment, machine, stationery and supply
  • Assist in logistical support and catering order for events, meetings, summits and/or conferences
  • Support and facilitate department-wide and/or corporate-wide projects and programs
  • Assist in office space planning and facilitate team member movement requests
  • Attend to general queries and requests
  • Support department metrics consolidation, actions tracking and followup, PO generation and followup, Business flow compliance  
  • For business process and/or QMS component that one is responsible or accountable for:
  • ensuring the QMS/business process that is effective and conforms to requirements
  • ensuring that the processes are delivering their intended outputs
  • reporting on QMS/business process performance and opportunities for improvement to management
  • ensuring the promotion of internal and external customer focus throughout the organization






High School Diploma / university

·  Related field of study



Other or equivalent experience

·  Secretarial qualification

·  Secretarial and/or administrative experience in supporting senior management in a well-established multinational organization



·  Strong administrative and organizational skills with an eye for detail



·  Good interpersonal, verbal and written communication, and project management skills



·  Ability to exercise discretion in handling confidential and/or sensitive information and matters, and treat them in strict confidence



·  Demonstrated ability to multi-task with minimal supervision



·  Customer-focused with the ability to provide efficient delivery of service in a fast-paced environment



·  Proficiency in Microsoft Office applications (e.g. Microsoft Excel, PowerPoint, Outlook and Word) and other IT applications (e.g. SharePoint, SAP..etc)
