Program & Reporting Specialist

In this role you will engage with Sales, Accounting, Collections and Customers to provide a variety of sales related support centered around marketing programs.  You will be the lead contact for the review and processing of program claims.  You will also provide the Sales team with reporting and analytical support.  The position requires the ability to work cross functionally, while juggling multiple tasks, in a fast paced environment. 



  • Manage the program claims process for MDF, Coop, VIR, Spiff and Fixed Dollar allowances for the North America, Latin America and Australia/New Zealand regions.
  • Review and validate all program claims.  Ensure each meets the approved program guidelines and falls within the available budget.  In cases where they do not, work directly with the customer to dispute and resolve.
  • Provide Collections / Accounts Receivable (CAR) with all details and coding needed for creation of the program claim credit memos.
  • Review the Aging on a monthly basis to ensure claims are being processed in a timely manner. 
  • Maintain an archive of claims received and a log capturing relevant details for each.
  • Collaborate with Accounting, CAR and Customers on account reconciliations.
  • Assist with the net sales calculation and reporting process for program accruals.  Provide Accounting, Sales and Customers with month-end reporting.
  • Utilize various data points to develop reporting and analytics that Sales can use to make informed business decisions.  Provide regularly required reports and support ad-hoc requests for customer meetings, quarterly business reviews and planning sessions.
  • Assist Sales with the new vendor creation and purchase order requisition processes.
  • Master user of SAP, FSCM (SAP Financial Supply Chain Module) and Quick Base for the Sales team.



  • 3-5 years of experience in relevant administrative position.
  • Excellent Excel skills required.
  • SAP, FSCM, Cognos, Tableau and Quick Base experience a plus.
  • Must be extremely organized, self-motivated, with great attention to detail.
  • Position will require evening work hours at times, especially during month-end close periods.
